f you’ve vacationed in Destin or along 30A recently, chances are you’ve seen golf carts everywhere.

For many visitors, they’ve become one of the easiest ways to get around beach communities, restaurants, neighborhoods, and local attractions. But behind the scenes, managing a large golf cart rental fleet during Florida’s busiest travel months takes much more coordination than most people realize.

That’s something the team at Destin Elite Carts understands well.

During a recent conversation with BookingCentral, James Inlow, the General Manager at Destin Elite Carts shared how he and his team use BookingCentral to help manage reservations, waivers, dispatching, fleet operations, and customer communication during peak season on the Emerald Coast.

Managing Busy Rental Weeks in Destin

Peak season in Destin and 30A moves fast.

According to James, holiday weeks and summer months can book up quickly, especially around major travel periods like the Fourth of July. His recommendation for guests visiting the area is to reserve golf carts as early as possible, ideally about a month ahead during peak times.

With high booking volume comes operational pressure behind the scenes.

Reservations need to stay organized. Waivers need to be completed. Deliveries need to be coordinated. Staff need visibility into what carts are going where and when.

That’s where James says BookingCentral has helped simplify operations.

“Everything Is in One Place”

One of the biggest takeaways from the conversation was how much smoother operations became after moving away from multiple disconnected systems.

Before BookingCentral, different parts of the business were managed across separate platforms. According to James, if one system had issues, it could affect the entire operation.

Now, reservations, waivers, fleet management, dispatching, and communication all work together in one platform.

The result is better visibility for staff and faster response times during busy rental days.

Real-Time Communication Helps the Team Respond Faster

The Destin Elite Carts team also talked about how important communication becomes during peak season.

Using BookingCentral, staff can quickly:

  • Open reservations
  • View waiver status
  • Send and receive customer messages
  • Coordinate dispatching
  • Monitor fleet activity in real time

One feature Destin Elite Carts specifically highlighted was the ability for multiple team members to see guest communication in real time. If one employee is out delivering carts or assisting customers, office staff and managers can still view conversations and respond quickly if needed.

According to James, that shared visibility has helped reduce delays and improve customer response time significantly.

Managing Operations From the Mobile App

Another major advantage discussed during the interview was the ability to manage operations directly from a phone using the BookingCentral mobile app.

Whether in the office or out in the field, the team can quickly access reservations, check waiver completion, communicate with guests, and stay updated on day-to-day operations in real time.

According to James, the difference compared to previous workflows has been “night and day.”

“No Chaos”

One of the more memorable moments from the interview focused on operational organization during peak season.

James explained that before BookingCentral, multiple disconnected systems created confusion and inefficiencies. Now, with reservations, dispatching, waivers, and fleet management connected together, the team has much better visibility into the operation as a whole.

That centralized visibility helps reduce operational chaos during busy weeks.

Dispatch & Fleet Visibility

The interview also highlighted how dispatching and fleet management play a major role in keeping operations running smoothly.

Destin Elite Carts explained that they inspect and maintain their golf carts internally and work quickly to resolve issues if they happen during a rental. If a cart needs to be replaced, James said they typically aim to swap in another cart within about an hour to minimize disruption for guests.

With real-time visibility into reservations, deliveries, and fleet activity, the team can coordinate carts more efficiently and respond faster during high-volume periods.
